Reports Overview

While several commonly used reports (such as the Arrivals Report or Departure Report) may be accessed directly using the Quick Menu, most of your Reports are accessed from the Reports Area of the Skyware Systems .

 

The Reports Menu can be accessed by clicking the Reports icon on the Action Bar:

The Reports screen is divided into four sections, each containing command links for different types of reports.

These sections are Room Reports, Revenue Reports, Managers Reports and Other Reports, each containing command links for different types of reports. Each of these are outlined briefly below, with links to more detailed information about the available reports.

Note: Any Report option followed by an asterisk (*) can be utilized if desired to group MULTIPLE Property information together in a single report, as well as individual Properties in separate reports.

 

Room Reports:

The Room Reports section of the Reports menu provides access to the basic informational room reports.

Guest Lists: The Guest Lists Report shows all guests that are currently In House (FOL status).

Arrivals, Stayovers and Departures: This report gives you the information from the Arrivals Report, the Guest List, and the Departures report all in one place.

Cancellation Report: The Cancellation report shows all reservations originally booked for a specific date range that have since been canceled.

No Shows Report: The No Shows report lists all guests who were due to check in but did not, during a specific date range.

The information included in the report is based on (and therefore requires) running the night audit, which changes the stay status from "RESV" to "NSHO" for all applicable folios.

Denied Business: The Denied Business Report shows all of the reservations that were "denied" (turned away) during a specified date range.

Tax Exempt: The Tax Exempt report shows all reservations due to be in house during the selected date range, that are identified as tax exempt (by Federal, State, County or City).

Tax Detail: The Tax Detail Report shows how much taxable vs. non-taxable revenue was posted to each guest’s folio, as well as the amount of tax.

Comp Rooms: The Comp Rooms report shows all stays that have a "Comp" or zero room rate that are due to be in house on the selected dates.

Group Rooms Control (GRC): The Group Rooms Control or GRC report shows all of the group blocks due to come in during the specified date range, along with the number of rooms blocked per night for each group.

VIP Report: The VIP report shows all stays for a specified time period that are considered VIP (have a VIP code attached).

Reservations Entered On Report: The Reservation Entered Report shows all of the reservations entered into the system for a specific date range. This information can be tracked by user to know how much business a each reservation agent/user is bringing in.

Print Due Out Folios: The Print Due Out Folios report lists folios for all stays that are due to check out for the current day. You can select to print all due outs, just the stays that have express check out selected, or just the stays that have credit cards, direct bills, or zero balances.

Room Move: The Room Move Report shows all of the room moves that occurred during a specified date range.

Room Occupancy *: The Room Occupancy Report provides information regarding the occupancy of rooms at your Property during a specified date range.

 

Revenue Reports:

The Revenue Reports section of the Reports Area provides access to the basic revenue information reports.

Department Revenue *: The Department Revenue Report shows all of the revenue added into the system on a specific date, by post type and grouped by post type department. The report can be generated for a specific user/cashier, or for all cashiers.

Flash Report *: The Flash Report shows the revenue generated for a specific date (by post type), statistical information for that date and provides an expected forecast for the following date.

Folio Balance Report: The Folio Balance report lists all of the guests currently in house and the current balances on their folios.

Reservation Balance: The Reservation Balance Report is used to track non-deposit postings that have been made to reservations (stays with a RESV status). It is typically used to show the amounts that have been charged to guests who are not yet in house as of the date selected for the report.

Revenue Summary *: The Revenue Summary Report provides information regarding the total revenue generated based on a selected revenue type.

Room Rates Report: The Room Rates report displays the expected room rates by room type per stay. The room rate is compared with the expected rate for that room type/date and the difference (variance) between the actual stay's rate and the expected rate for the date. This report is typically used to review rates for each guest and make sure there are no mistakes.

Forecast Revenue Summary *: The Forecast Revenue Summary Report provides a daily projection of the number of rooms sold and expected revenue for the date range selected.

Deposits: The Deposit Report shows all deposits that are due or received for guests arriving during a specified date range.

Exceeded Credit Limit: The Exceeded Credit Limit Report shows all guests whose charges (on the Posting screen) have exceeded what was entered in the credit limit field on the Deposit/Payment when creating the reservation in the Reservation Wizard or entered on the Stay Info Screen.

Reservations Postings Detail Activity: The Reservation Posting Detail report shows all of the postings that were made to a stay with a reservation (RESV) status.

Daily Report: The Daily report shows the rooms and revenue statistics for a specified date.

Weekly Business *: The Weekly Business is similar to the Department Revenue report, but shows all the revenue added to the system for one week, beginning on the specified date. The report may be generated for a specific revenue stream (Hotel, A/R, POS and Condo), or a combination.

Top Producers: The Top Producers shows all of the Companies that have been the top producers for the selected date range.

Room Income: The Room Income Report shows the amount of Room Revenue posted to each room for a given date range. (This is useful for properties with Condos to see how much revenue a particular room is generating).

Package Revenue: The Package Revenue report can be customized by property when you create your own columns (Configuration -> Package Plan Categories) and assign them to specific posting types. Only revenue posting types will appear on this report. The report can be filtered by All, Packages by Day, or Amenities by Day. Package revenue will be shown by package on the Summary, and for each guest on the Detail view.

Package Availability:  the Package Availability report may be used to show any generated package plans, with how many of any particular package has been designated as available or how many have been sold, depending on your selection. The Package Availability screen is similar in appearance to the Room Availability screen, displaying a grid of all of the package plans that are available/sold each day based on a specified date range. This date range can be altered as desired, and the grid may also be filtered to show packages, amenities or both.

Package Stays: The Package Stays report shows STAY information for all packages that have been associated with a stay during a specified time period.

 

Managers Reports:

The Manager Reports section of the Reports Area provides access to reports typically run by property managers.

Emergency Reports: The Emergency Reports features is designed to be used if your system needs to go down for a short period of time. It provides quick access to pre-configured reports, and includes those typically needed for the staff to operate manually.

Custom Reports: The Custom Reports area takes you into Query Builder, which allows you to create, view, and modify a report using information associated with a guests stay.

Budget Report*: The Budget Report shows actual numbers vs. budgeted for Revenue for the options selected (individual Rate Plans, Guest Types, and Segment Types may be selected, or ALL may be viewed). If your Property uses the Sales and Catering module, revenue statistics from Sales and Catering such as Function Room revenue, Food revenue or Beverage Revenue will also be shown.

Booking Pace: The Booking Pace Report allows you to analyze your revenue and occupancy between two time periods by showing your pacing over a specified Date range, allowing you to compare your previous room usage and revenue with the current usage and revenue, and make revenue forecasts for the future. The report captures how many individual and block reservations were on the books on any specific day, and enables you to track booking trends to maximize revenues.

Note: The Booking Pace Report command may also be found in the Reports section of the Sales and Catering Area of Skyware, if your Property uses this module.

Help: Clicking on this command will take you to the Skyware Systems Help Overview page, where you can look at or search for any Help topic in the system. You CANNOT configure the Help system, but you can use it for help in configuring the rest of your system.

 

Other Reports:

The Other Reports section of the Reports Area provides access to additional reports not appropriate for the other report categories.

Club/Members: The Club Member report shows the number of stays for Club Members during the dates specified. This report is typically used to see how frequently club members stay at your property.

Travel Agent Commissions: Once commissions have accumulated, use the Travel Agent Commissions feature located in the Reports Area, to modify, view, or print checks for the travel agents, as well as generate a report previewing the commissions checks to be sent, or a report showing the T/A Commissions Check Register (commissions sent).

Transaction Report: The Transaction Log report show all of the transactions that occurred within the system for the specified date range and options, and can be shown by the Log Type - All, Guest Activity, Room Activity or Rate Activity.

Referred by Guest: The Referred by Guest Report is a listing showing guests who referred guests to your hotel. Summary will just give a count, detail will show who they referred, as well as the dates of stay.

Guest Complaints: Complaints may be made both BY the guest, and AGAINST the guest by the Property (such as leaving without payment). This command opens the Guest Complaint screen, which shows ALL complaints at your Property. Any complaints entered in your system will ALWAYS be displayed, even after it has been resolved. (Resolved complaints will have "yes" in the resolved column on the left, rather than "no").

Note: The Guest Complaints command may also be found on the Other Front Desk Tasks Menu.
